File Drop - classic
Share and access files and memos
Introduction
File Drop is a feature, where media objects can be uploaded via the Yonder Reader Online, so they can be distributed to the end-users in a simple way. Files and memos are also available on the Yonder Reader Offline, once synced.
By assigning metadata (tags, effectivity) or setting (named) user permissions for the documents, users will only see the documents that they require, as briefly demonstrated below.

ADMIN Use Cases
- Quick and easy distribution of content to end-users.
- Simple WYSIWYG editor to create non-revised content (= memos) that can be distributed via File Drop thereafter.

Upload / Import Files
Required permissions: filedrop_admin, filedrop_view
Opening file drop the import screen is opened as default. Following import options are available:
- Drag and Drop (illustrated below)
- Import Button
Assign Metadata
Required permissions: filedrop_admin, filedrop_view
If no metadata (including specific users) are selected, the imported files are visible to all users.
Below is an example of how metadata is added to several imported files at once.
Edit Metadata
Required permissions: filedrop_admin, filedrop_view
Admins can edit metadata of existing files as illustrated below.
Update File
Required permissions: filedrop_admin, filedrop_view
Result:
- File is replaced
- Meta data remains untouched (exception: date From) including original file name
- Existing file gets end dated with the start of the newly updated file
- Links set to the previous file still work as the file is replaced (meta data persisted)
Update (= replace) existing files as illustrated below.
Rename File
Required permissions: filedrop_admin, filedrop_view

Remove File
Required permissions: filedrop_admin, filedrop_view
Delete a file as illustrated below.
Memo: Create / Modify / Delete
Required permissions: filedrop_admin, filedrop_view, filedrop_editor
The illustration below demonstrates how a memo is created and points to how it can be modified (renaming, editing metadata) and deleted thereafter.
Enable Tag Domains for tagging
Required permissions: filedrop_admin, filedrop_view, md_tag_admin
The in file drop available tag domains have to be selected via the admin interface. To do so, navigate to Definitions > Tag Domains, as illustrated below.

Required permissions: filedrop_view
Files are opened with the standard embedded PDF viewer. If more features are needed the file can be opened externally via the kebab menu.
To view media files and memos, navigate to the FILES tab of the Library located in the Yonder Reader, as illustrated below.

There are several sort and filter options available. Sort and filter options can be accessed via the filter icon, as demonstrated below.
System / Application Actions
Termination of an existing file when replaced
The user has the possibility to update an existing file with a new file (see Update file). Thereby the old file is terminated, i.e. EffectiveTo date of the "old" file is set to EffectiveFrom date of the “new” file, as illustrated in the example below.
Notes:
- Removing a file will delete the files (and all its revisions).
- Either individual users or tags can be assigned to files and memos.
